The NI184 form explained

The NI184 is the Employer’s Contribution Schedule — the primary monthly filing document for national insurance in Trinidad & Tobago. This guide covers what it is, who must file it, what goes on it, and the most common mistakes employers make when completing it manually.

What the NI184 form is

The NI184, formally titled the Employer’s Contribution Schedule, is the form that employers in Trinidad & Tobago use to report and remit their national insurance contributions to the National Insurance Board (NIBTT). It records, for each insured employee, the contribution class that applies and the employer’s contribution amount for the pay period.

The NI184 is the employer-facing document. It captures what the employer owes NIBTT for each employee. The companion form, the NI187, captures what was deducted from each employee’s wages on the employee’s side. Both forms are required each month for complete compliance.

The form is submitted monthly to NIBTT along with payment of the total contribution amount due. NIBTT uses the NI184 data to credit contribution weeks to each employee’s account, which in turn determines benefit eligibility for things like sickness benefit, maternity benefit, and old-age pension.

Who must file the NI184

All employers who are registered with NIBTT and have insured employees in their employ must file the NI184 each month. This applies to businesses of every size — from a sole trader with one employee to a large corporation with hundreds.

Registration with NIBTT as an employer is mandatory under the National Insurance Act. Employers are required to register promptly after hiring their first insured employee. Once registered, the obligation to file monthly NI184 forms continues for as long as the employer has insured employees.

Employers must also file for part-time and casual workers if those workers meet the minimum earnings threshold for insureability. The obligation is not limited to full-time permanent staff.

Filing deadline

Last working day of the following month

Information required on the NI184

Employer name

The registered business name as it appears on your NIBTT employer registration.

Employer registration number

Your unique NIBTT employer registration number, assigned when you registered as an employer.

Pay period

The month and year for which contributions are being remitted (e.g., January 2026).

Employee name

The full name of each insured employee covered in this contribution schedule.

Employee NIS number

The unique NIS identification number for each employee, issued by NIBTT.

Contribution class

The class (I through XVI) applicable to each employee based on their weekly earnings.

Employer contribution amount

The employer's share of the NIS contribution for each employee, derived from the contribution class.

Total employer contributions

The sum of all employer contribution amounts across all listed employees.

Common mistakes when filling manually

Manually completing the NI184 each month involves several steps where errors commonly occur. These are the mistakes NIBTT most frequently encounters from employers filing without automated tools.

Wrong contribution class

Using an incorrect class — often because the salary-to-weekly-earnings conversion is not applied, or because outdated rate tables are referenced. This results in under- or over-payment of contributions.

Incorrect NIS numbers

Transposing digits in an employee's NIS number means contributions may be credited to the wrong person's account, causing benefit eligibility issues for the employee.

Missing employees

Failing to include all insured employees for the period — including part-time workers who meet the minimum earnings threshold — results in non-compliance for those individuals.

Filing for the wrong period

Submitting a form with an incorrect pay period causes misalignment in NIBTT records and can trigger compliance queries from the Board.

Employer totals not matching line items

Manually summing contribution amounts is error-prone. If the total at the bottom of the form does not match the sum of individual entries, NIBTT may reject the submission.

Late submission

Contributions must be remitted to NIBTT by the stipulated deadline each month. Late submissions may attract penalties under the National Insurance Act.
